A practical school supply inventory system
Track frequently used supplies, establish reorder points, and avoid emergency purchases without adding complicated software.
Track only what benefits from tracking
Focus first on high-use, frequently depleted, or difficult-to-replace supplies: paper products, trash liners, office paper, basic classroom consumables and approved equipment accessories. The purpose is to reduce surprises, not create a separate administrative burden for every pencil.
Use a consistent item record
Keep the item description, manufacturer/model or SKU, unit of measure, normal storage location, quantity on hand, reorder point, and expected reorder quantity in one place. Record quantities in a consistent unit, such as cartons or individual pieces, so your team does not accidentally mix them.
Setting a reorder point
A reorder point is the on-hand quantity that triggers a review. As a starting approach, consider typical weekly consumption, expected replenishment lead time, and a buffer appropriate to the item. Review the thresholds when usage changes.
Illustrative example: A school uses 8 cases of towels per week and wants a 3-week supply buffer covering replenishment and uncertainty. It might set a review point at 24 cases. This example is for planning only; actual lead times, demand and delivery considerations will differ.
Make counts repeatable
- Assign one owner to the inventory list for each school or stockroom.
- Count common consumables on a schedule appropriate to usage.
- Record stock movements between buildings when they occur.
- Check expiration or manufacturer restrictions where applicable.
- Review repeated emergency orders for missing or incorrect reorder levels.
Our editable worksheet includes item, location, unit, on-hand quantity, reorder threshold and an automatic reorder flag.
