PURCHASING PLANNING

How to plan an annual school supply order

A step-by-step framework for collecting department requests, comparing available supplies, estimating quantities, and organizing school purchasing.

1. Collect requests in a consistent format

Ask departments to submit product descriptions, preferred model or item numbers, requested quantities, needed-by dates, and the location that will receive the materials. When these details are collected consistently, it is easier to combine similar requests without overlooking special requirements.

2. Count usable stock before buying more

Review stockrooms, shared closets, administrative storage, and custodial areas for usable products already on hand. Record what can be reassigned between departments and what must be reserved for ongoing operations. Avoid treating every old carton as available if contents are damaged, out of date, or needed for another purpose.

3. Confirm the actual purchasing unit

A school may request 12 cartons of paper, 12 reams, or 12 individual packs. These are different quantities. Record the vendor unit of measure alongside the intended amount, especially for case-pack products and multi-packs. This is also the right stage to review available bulk-pricing tiers.

4. Plan purchasing windows

Separate long-lead or scheduled items from everyday replenishment products. Plan around district approval timelines, the school calendar, receiving access, and realistic delivery estimates. Do not treat delivery estimates as guaranteed dates when scheduling essential items.

5. Review totals against available budgets

For each planned line item, multiply quantity by estimated unit cost and assign the expected expense to the appropriate department or budget. Keep estimates separate from confirmed quotes and actual invoices, because product pricing and availability can change.

6. Prepare the order or quote

BulkSupply.com allows customers to create no-obligation PDF quotes directly from the shopping cart. A quote can help confirm selected items and available quantity pricing before a final purchase is placed.
